Does our project insurance provide coverage for driving, renting, or owning a car?

Driving a car

Community Partners does not provide car insurance for projects. Anyone driving on behalf of your project must have adequate car insurance to cover themselves, their passengers, and any other cars involved in the event of an accident. You are responsible for ensuring that all employees or volunteers that drive on behalf of your project have current proof of insurance on file. Employees must submit proof of this insurance (i.e. a copy of an insurance card) to Human Resources at [e-mail], and Project Leaders should request and retain proof of volunteers' insurance within their own files. In addition, you must obtain a DMV driving record for your project employees who drive clients or program participants on behalf of your project. You should check the driving record to ensure the driver meets Community Partners recommended requirements.  

If an employee or volunteer is driving a vehicle for project purposes and is involved in an accident, their car insurance is the primary coverage. Community Partners' general liability insurance provides supplemental car insurance in situations where the primary car insurance coverage has been spent. Community Partners assumes no responsibility for fire, theft, collisions, personal liability, or parking violations or moving violations at any time. All employees and volunteers are prohibited from using cell phones for talking or texting while driving for project-related business. Employees who are charged with traffic violations resulting from the use of their cell phones while driving are solely responsible for all liabilities, fines, and other consequences that result.

Renting a car

If you rent a car for purposes related to your project, Community Partners does not provide car insurance coverage for the rental. If you are renting a vehicle for driving minors, it may be challenging to obtain insurance as minors are considered a 'vulnerable population.' The use or rental of a 15-passenger van as part of your project activities is not recommended due to the high risk of injury compared to other vehicles.

Moreover, these vehicles are typically not covered under insurance general liability policies. Instead of renting, you may to want to consider contracting with a transportation company which provides their own insurance, vehicles, and drivers. 

If you choose to rent a car for purposes related to your project, you may opt in to paying for the coverage offered by the car rental company. It is your responsibility to ensure you have appropriate coverage limits through the rental company coverage.

Owning a car

An individual can own a car, but Community Partners has a long-standing policy that projects cannot own cars. If an individual uses a car they own for project purposes, they must have their own car insurance coverage. Employees must be reimbursed for mileage expenses related to driving for project purposes, and volunteers may be reimbursed if authorized by the project leader. To get reimbursed for mileage, please submit the mileage log along with a check request.
