Which projects need to conduct Live Scans?
- Any project that works directly with a vulnerable population (seniors, youth under 18, formerly incarcerated people, homeless people, people with mental health issues, people with disabilities, etc.)
Who needs to complete a Live Scan?
- Employees, volunteers, and contractors connected to projects that work with vulnerable populations
How do you complete a Live Scan?
- First step in the Live Scan process is to complete the "Request for Live Scan Service form"
- Once you are in the “Live Scan Procedures” tab, enter the project number and the email of the person you want to send the form to in the space provided
- The individual receiving the form needs to fill out the “Applicant Information Section”
- Once completed, the individual can go to a Live Scan location to be fingerprinted
- Lastly, Project Leaders or managers need to inform human resources via email of all individuals that are being Live Scanned. If you have a large list, it is recommended that you attach a Word or Excel document listing all the individuals. Community Partners has had some instances where Live Scan locations fail to input the project number into the DOJ system, which can delay the HR team from informing you about a completed Live Scan for a specific individual.
Where do we get fingerprinted?
- You can take the completed Request for Live Scan Service form to a Live Scan location of your choice.
When is the Live Scan process complete?
- The Live Scan process for each individual is officially complete once you have received an email from the HR team confirming that the individual/s have been cleared by the DOJ and FBI
- If you have not received a confirmation email from the HR team within a week of an individual submitting their fingerprints, please follow up with the HR department.
Is the process the same for out-of-state employees?
- No. Any employee that is not located in California will need to complete a Live Scan via FBI Hard Card. This is a lengthier/more manual process that usually takes 3 to 4 weeks to complete. Please contact Human Resources at hr@CommunityPartners.org for more details.
I have already been fingerprinted with another organization, or in another state. Do I need to do it again?
- Yes. A person will need to be Live Scanned through Community Partners’ mail code number in order for Community Partners to receive the most current background check information (and receive future notifications should the person be arrested), regardless of previous Live Scans performed. Agencies are not allowed to share criminal record history information, including responses that no criminal record history exists.
Is there a cost?
- Yes. Each location charges a fee to digitally scan fingerprints, which are electronically submitted to the Department of Justice and FBI for a criminal record check at the state and federal level. It should be noted that the fee charged can vary from location to location. These costs should be covered by the project.
