Sub-accounts are a great way to track specific programs for your project. In order to set up a sub-account, please contact your finance liaison. They will create the sub-account for you in AccuFund and they will then share this sub-account with the AP team to set up in Certify and with the Human Resources team to set it up in Paylocity. Once it's set up, you'll be able to select the sub-account in Certify when you request payments and you'll also be able to select it in Paylocity when entering employee time.
An example of a sub-account is if you are planning to host an annual festival and you would like to track all of the expenses and income related to the festival. Each time you receive funds, you can let the Accounts Receivable team know you would like it attributed to the sub-account for the festival. Each time you make a payment, you can select the sub-account for the festival in Certify or Paylocity.
A funder code is also a great way to track specific grant expenses. It is also set up by contacting your finance liaison. Once it's set up, you will be able to select the funder code in Certify when requesting payments or in Paylocity when entering employee time.
An example of a funder code is if you receive a grant from The Ford Foundation and you would like to track all of the expenses that are paid out from the grant. You'll be able to select the Ford Foundation funder code in Certify and in Paylocity each time you make a payment or enter employee time.
